Commercial and finance administration

Maintain products, price versions, invoices, tax records, finance approvals and ledger workflows with a traceable review.

Workflow
  1. Locate the commercial recordUse Products, Finance or Invoices from the admin dashboard. God-only price and accounting actions are not available to every admin role.
  2. Confirm the source dataCheck product, billing cycle, currency, customer billing details, tax category and existing invoice state before editing or issuing anything.
  3. Enter a bounded changeUse the appropriate product price version, invoice action, tax review or ledger form. Provide all required dates, amounts, currency and reasons.
  4. Follow approvalsWhere a workflow requires approval, request it and wait for the authorised decision. Do not represent a draft or pending item as posted or settled.
  5. Reconcile the outcomeRe-open the record, confirm its status and linked documents, then use the relevant report or audit record to verify the financial effect.

Products and prices

Products lists the commercial catalogue and supports create, edit, detail, ordering, export, bulk actions and status or visibility toggles. Price changes are managed through the product price screen and create a new price record/version rather than silently changing an invoice already issued. Review currency and billing cycle carefully; current AI plan display prices may show multiple currencies, while a specific service or product may accept a narrower set. A product change affects future catalogue use, not existing financial documents.

  1. Open Products and check the product status, order, price and current linked records.
  2. Use the product editor or product price screen for the intended field and currency; avoid unrelated bulk selection.
  3. Save and re-open the product to confirm the displayed version and availability.

Invoices and lifecycle

Invoices supports list, create, edit, detail and export. Detail actions cover reminders, marking paid, duplication, credits and credit/debit notes, installments, document email, collections, voiding, lifecycle transitions, correction and reissue, write-off, refund-to-credit, approvals and recurring profiles. These actions are not interchangeable: a correction preserves a lifecycle trail, a void is distinct from a credit note, and a payment state should reflect evidence. Review line items, tax, due date, currency and current status before a transition.

  1. Find the invoice and inspect its items, amount due, tax, currency, history and current status.
  2. Choose the action matching the documented accounting event and supply its required amount, date or reason.
  3. Confirm the new status and generated receipt, note, statement or approval entry on the invoice detail.

Tax and compliance

Tax Reports can be filtered by date range, billing entity, jurisdiction, product tax category and currency, then reconciled or exported. Tax review queues expose exceptions for resolution. Compliance Profiles allow authorised users to maintain and publish billing compliance configuration; invoice e-invoice export uses the selected profile. Validate jurisdiction and reporting period before acting, and do not infer a tax treatment from a display currency alone. If a review does not reconcile, retain it for investigation rather than altering source records to force a match.

  1. Set the report period and applicable entity, jurisdiction, category and currency filters.
  2. Run reconciliation and inspect any review items before resolving or exporting.
  3. For e-invoice output, confirm the correct published compliance profile and inspect the downloaded document.

Ledger and accounting

Finance provides operational summaries and links to accounting workspaces. Accounting functions include chart-of-account maintenance, journal posting, period status, revenue recognition, receivables ageing and forecasts, promises, disputes and write-offs; payables covers vendors, requisitions, purchase orders, bills, expenses and credits with staged approvals. Reconciliation supports registers, file imports, match proposals, approvals, exceptions and period close. Exports are generated through report workflows. Posting, closing, payment scheduling and write-off are consequential; use the correct period and supporting evidence.

  1. Open the relevant accounting page and check period, account, currency and supporting source documents.
  2. Create or review the journal, payable, receivable or reconciliation item; request the required approval.
  3. Verify the posted state or approved match and confirm the period is still in the intended status.

Approval and permissions

Finance includes approval policies and request/decision flows, security policy, document controls and finance permissions. Certain finance mutation routes are God-only, and individual controls may require an approval. Provide a clear reason and idempotency reference where requested. Do not approve your own request unless the application explicitly permits it and the governing policy says it is appropriate. Documents may be placed under legal hold; release or purge only under the applicable retention authority.

  1. Check Finance Permissions and the applicable approval policy before raising or deciding an item.
  2. Submit the request with its subject, amount, currency, reason and required evidence.
  3. Use the approval decision controls only when authorised, then confirm the recorded decision and audit state.

Currencies and troubleshooting

Currency is recorded on price, invoice, tax and ledger items. This codebase has flows that intentionally restrict particular products to a supported currency; do not assume that a currency can be changed after issuance. Tax rates may be resolved from billing jurisdiction, while displayed prices can be converted or stored separately. If a total, tax amount or report does not match, compare the source item, tax basis, currency, billing period and ledger entry. Validation errors often indicate a mismatched currency or invalid lifecycle transition.

  1. Read the currency code on the source product or invoice rather than inferring it from a symbol.
  2. Compare tax inputs and report filters with the billing country and product category.
  3. If posted values disagree, stop further mutation and send the record reference and discrepancy through the finance escalation path.

Frequently asked questions

Does changing a product price rewrite issued invoices?

No. Product price maintenance affects catalogue pricing; existing invoices retain their recorded commercial details and lifecycle.

When should I issue a credit note rather than void?

Use the invoice action that matches the approved accounting event. Review the invoice lifecycle and follow finance policy before selecting a correction.

Can all admins post journals or close periods?

No. Finance routes have role restrictions and some actions require separate approval. The page will not grant permission based on general admin access.

How do I reconcile tax?

Filter by period and the applicable entity, jurisdiction, category and currency, run reconciliation, and work the resulting review items.

Can I change the currency after issue?

Do not assume so. Use the documented correction or credit/reissue lifecycle for issued documents; never edit a posted amount to mask a currency discrepancy.

Where are accounting exports?

Use the Accounting Reports and Exports screens. Generate the report, then download the resulting export from its recorded run.
